Download your receipts and data in various formats for accounting, backup, or record-keeping.

Export Options Overview

ReceiptLog provides several ways to export your data:

To access the export options, go to Settings and tap Export Data.

Format Best for
Combined PDF All receipts merged into one PDF document
ZIP of PDFs Each receipt as a separate PDF file
CSV Importing into accounting software, spreadsheets
Excel (.xlsx) Working in Excel, detailed analysis

Downloading Individual PDFs

To download a single receipt as a PDF:

  1. Open the receipt

    Go to Receipts and tap on the receipt you want to download.

  2. Tap "Download PDF"

    The PDF will be generated and downloaded to your device.

The PDF includes:

  • Your logo and business details
  • Receipt number and date
  • Client details
  • Itemised services with prices
  • VAT breakdown (if applicable)
  • Payment information
  • Your custom footer message

Exporting to CSV

CSV (Comma-Separated Values) is a universal format that works with almost any spreadsheet or accounting software.

  1. Go to Settings > Export Data

    Open the export modal from the Settings screen.

  2. Set the date range

    Choose a From and To date. Defaults to the current year.

  3. Filter by client (optional)

    Select a specific client, or leave as "All Clients" to include everyone.

  4. Select CSV format and export

    Choose CSV as the format and tap Export. The file will download automatically.

What's included in the CSV

Each row represents one receipt with columns for:

  • Receipt number
  • Date
  • Client name and email
  • Service descriptions
  • Net amount
  • VAT amount (if applicable)
  • Total amount
  • Currency
Tip

CSV files open directly in Excel, Google Sheets, Numbers, and most accounting software. If prompted, choose "comma" as the delimiter.

Exporting to Excel

For a more formatted spreadsheet, export directly to Excel format:

  1. Go to Settings > Export Data

    Open the export modal from the Settings screen.

  2. Set date range and filters

    Choose your date range and optionally filter by client.

  3. Select Excel format and export

    Choose Excel as the format and tap Export. The .xlsx file will download.

Advantages of Excel format

  • Columns are properly formatted (dates as dates, numbers as numbers)
  • Column headers are styled and frozen
  • Ready for filtering, sorting, and pivot tables
  • Works directly in Excel without import steps

Downloading All as ZIP

Need all your receipts as separate PDF files? Download them as a ZIP archive:

  1. Go to Settings > Export Data

    Open the export modal from the Settings screen.

  2. Set date range and filters

    Choose your date range and optionally filter by client.

  3. Select "ZIP of PDFs" and export

    Choose ZIP of PDFs as the format and tap Export.

The ZIP archive contains individual PDF files for each receipt, named by receipt number for easy reference.

Large exports

If you have many receipts, the ZIP download may take a moment to generate. The download will start automatically when ready.

Preparing Data for Your Accountant

Here's the recommended workflow for sending records to your accountant:

For quarterly or annual returns

  1. Export to Excel

    Go to Export and select the date range for the period (e.g., January 1 to March 31).

  2. Download the ZIP (optional)

    If your accountant wants copies of all receipts, download the ZIP for the same period.

  3. Email both files

    Send the Excel spreadsheet and ZIP archive to your accountant.

What your accountant gets

The Excel file provides a clear summary of:

  • Total income for the period
  • VAT collected (if applicable)
  • Breakdown by client
  • Individual receipt details

The ZIP archive provides supporting documentation - all the individual receipt PDFs that back up the spreadsheet figures.

Tip

Export your data regularly (monthly or quarterly) so you always have a backup. Store the files somewhere safe like Google Drive, Dropbox, or an external drive.
