Create professional receipts in seconds and send them directly to your clients.

Creating a Receipt

Creating a receipt is the main workflow in ReceiptLog. Here's how to create one from start to finish:

  1. Tap "New Receipt"

    On mobile, tap the central + button in the bottom navigation. On desktop, tap New Receipt in the top right corner.

  2. Set the date

    The date defaults to today. Tap the date field to change it if the receipt is for a different day.

  3. Select a client

    Tap the client field to open the client selector. Type to search by name, email, or phone, then tap the client to select them.

  4. Add services

    Tap "Add service" to open the service selector. Choose one or more services from your list.

  5. Add a note (optional)

    Add any notes specific to this receipt. This will appear on the final PDF.

  6. Review the total

    Check that the services and total look correct. The totals update automatically as you add or adjust items.

  7. Generate the receipt

    Tap "Generate Receipt" to create the PDF. You'll then see options to share, email, or download it.

Tip

Can't find the client? Tap "Add new client" at the bottom of the client list to create a new client on the spot. You can fill in just their name and email to get started quickly.

Adding Services to a Receipt

When you tap "Add service", you'll see your list of saved services. There are two ways to add items:

Adding a saved service

  1. Tap a service

    For services with a fixed quantity, tapping adds them directly to the receipt.

  2. Set quantity (if applicable)

    For services with "Allow multiple units" enabled, a quantity selector will appear. Set the number of units, then tap Add to Receipt.

Adding a custom item

Need to add a one-off item that isn't in your service list? Tap "Add custom item" at the bottom of the service selector and fill in the item name, price, and optionally a VAT rate. Custom items are marked with a badge and are not saved to your service list.

Adjusting Prices and Quantities

After adding services, you can adjust the details for this specific receipt:

Changing the price

Tap on the price field next to any service to edit it. This only affects this receipt - your default service price stays the same.

Changing the quantity

If a service has "Allow multiple units" enabled, you'll see quantity controls (+ and - buttons). Use these to set the number of units.

Removing a service

Tap the X or remove button next to a service to remove it from the receipt.

Note

Price changes you make on a receipt are for that receipt only. To change the default price for future receipts, edit the service from the Services screen.

Sending Receipts

Once you've created a receipt, you can send it to your client in several ways:

Email the receipt

  1. Tap "Email to Client"

    On the receipt preview screen, tap the "Email to Client" button.

  2. Confirm the email address

    The client's email will be pre-filled. You can edit it if needed.

  3. Send

    Tap "Send" to email the receipt as a PDF attachment.

Download as PDF

Tap "Download PDF" to save the receipt to your device. You can then share it manually via WhatsApp, text message, or any other app.

Share

Tap the Share button to use your device's share sheet. This lets you send the receipt via any app that supports file sharing.

Email appearance

Emails are sent from ReceiptLog with your business name in the "from" field. The email includes a professional message and the receipt as a PDF attachment.

Viewing Receipt History

All your receipts are saved and easy to find:

  1. Go to Receipts

    Tap Receipts in the navigation menu to see all your receipts.

  2. Browse or search

    Receipts are listed with the most recent first. Use the search box to find receipts by client name, receipt number, or date.

  3. Tap to view

    Tap any receipt to open it and see the full details.

Each receipt in the list shows:

  • Receipt number (e.g., #2026-001)
  • Client name
  • Number of services/items
  • Total amount with currency
  • Receipt date
Filtering receipts

Use the filter chips to quickly show receipts from This Month, Last Month, or This Year. On mobile, pull down on the list to refresh.

Resending a Receipt

Need to send a receipt again? Maybe the client lost it, or you want to send it to a different email address:

  1. Find the receipt

    Go to Receipts and find the receipt you want to resend.

  2. Open the receipt

    Tap the receipt to view it.

  3. Tap "Email to Client"

    Use the same email button as before. You can change the email address if needed.

Tip

You can resend a receipt as many times as you like. The receipt content stays the same - it's the same PDF each time.
